What We Do

Entertainment Design Events is with you every step of the way…taking care of details that you may not have even considered!  To that end, we will:

  • Schedule an initial meeting to develop a working relationship and discuss the event inspiration and vision.  This meeting usually lasts two to three hours and serves to establish a foundation for moving forward with the event planning and coordination process.

  • Design a very special custom celebration based on the inspiration and ideas discussed at the first meeting.  The celebration may consist of many elements:  a rehearsal, rehearsal dinner, ceremony, reception, dinner dance, and more.  Extravagant weekend destination celebrations usually include activities from Thursday to Sunday, or even longer.  The most lavish affairs may last as long as two weeks and involve travel between several different locations.  Entertainment Design Events is capable of handling events of any scope in any location.

  • Design and execute all related/ancillary events:  showers, special parties, etc.  We will suggest location(s), establish timelines, develop themes, and find perfect favors that reflect your personality and the theme of your event.

  • Hire and manage vendors for all related products and services.  We will distribute deposits with contracts and present final payment.  We will negotiate vendor in/out times, distribute detailed maps and directions, arrange for parking and meals, and—if necessary—travel and lodging.

  • Design and coordinate professional printing of invitations, menu cards, seating cards, escort cards, thank-you notes, table numbers, and any other signage necessary for your event.  We will even prepare a travel portfolio so your guests know how and what to pack.  All materials will reflect the event’s overall theme.

  • Suggest and coordinate a photographer and videographer, and schedule photo sessions for the most opportune times (pre-ceremony photo shoots, for example, allow you time to spend more time with your guests).

  • Coordinate all rentals and equipment (e.g. tents, dance floors, specialty linens, etc.), including strike and general clean-up. 

  • Coordinate all lighting—area lighting, specialty lighting, entertainment lighting, pyrotechnics, etc.

  • Coordinate the perfect type of entertainment to complement the style of your event:  live music and/or a disc jockey, special activities, children’s games, dancers, fireworks, etc.  Entertainment is limited only by your imagination and budget!  We will work with entertainment directors to ensure a smooth performance from start to finish.

  • Design and facilitate a custom decor to suit your unique taste—your event will not be like anyone else’s.  It will truly be your very own day.

  • Coordinate all couturier appointments for the bride and groom.  Wedding wardrobe requirements typically include shower attire, rehearsal dinner attire, wedding dress and tuxedo or suit, post-wedding brunch attire, honeymoon attire, and attire for the parents of the bride and groom.  We will also assist any family members who need “makeover” assistance.

  • Design and coordinate attire and organize fittings for the bridal party.  We will maintain the bridal party’s contact information and keep its members informed of their roles and responsibilities.  We will schedule and confirm participation in the rehearsal and wedding, and coordinate attire pick-up and delivery to dressing areas on the wedding day.

  • Consult with caterers concerning menu options, dinner presentation, and types of service.

  • Manage the coordination, logistics, and staffing of all events:  ceremony, rehearsal dinner, reception(s), etc.

  • Organize guest seating, escort cards, table numbers, guest book, and any other related items at the check-in and guest tables.

  • Design, prepare, and distribute favors and amenities at all events. 

  • Track expenses, payments, and final balances due.  We will periodically provide budget updates to maintain control of event costs.

  • Develop a comfortable and creative timeline for all events, including optimal timing suggestions for toasts and other highlights (first dance, father/daughter dance, best man/maid of honor toasts, etc.), and cuing for each.  We will distribute timelines to all participants and vendors to ensure a seamless flow.  For a sample wedding day timeline, click here.

  • Assist with transportation needs and work with your travel agent(s) to ensure smooth guest travel, arrival, and departure.  We will coordinate valet parking and private jet, helicopter, and/or limousine service as needed. 

  • Assist with honeymoon plans, including hotel and/or residence scouting.

  • Supply our exclusive Entertainment Design Events “Emergency Kit” (which has “saved the day” countless times!).

  • Conduct the wedding rehearsal with the main ceremony coordinator/designer and two assistants (all of whom will be present on the wedding day).  We will coordinate beverage/snack service for wedding rehearsal attendees, and provide complimentary walkie-talkies for cuing the processional and recessional.

  • Distribute floral personals.

  • Design reserved ceremony seating; prepare and place names on reserved chairs.

  • Deliver wedding gifts to a secure location after dinner has begun.
